Privacy Policy
Last updated: October 16, 2026
This policy explains how SnappyTB, Inc. (“SnappyTB,” “we,” or “us”) collects, uses, and shares information when accounting firms and their team members use the SnappyTB website and application (the “Service”).
Who this policy covers
SnappyTB is business software for accounting firms. A firm (“Customer”) creates an organization, invites its team members, and uploads financial information about its own clients. We process that client information on the Customer’s behalf and under its instructions. The Customer decides what information to upload and is responsible for having the right to share it with us. If you are a client of a firm that uses SnappyTB, please contact that firm with questions about your information.
Information we collect
- Account information: your name, email address, password (stored only as a one-way hash), and optional profile photo.
- Organization information: organization name, team members, roles, invitations, and optional details such as office location and department.
- Customer content: the client records, trial balances, account names and numbers, balances, journal entries, tax mappings, workpapers, uploaded files, and review comments you add to the Service.
- Billing information: purchase history, billing contact, billing address, and tax details. Card and bank details are entered directly with our payment processor, Stripe, and are not stored by SnappyTB.
- Activity records: an audit log of actions taken in your organization (for example, who edited a trial balance and when) so firms can review changes.
How we use information
- To provide, maintain, and secure the Service.
- To run the features you request, such as importing and normalizing trial balances, suggesting tax mappings, and diagnosing out-of-balance imports.
- To send service emails, such as invitations, password resets, and receipts.
- To process purchases and calculate applicable sales tax.
- To respond to support requests and comply with legal obligations.
We do not sell personal information, we do not use customer content for advertising, and we do not use customer content to train our own AI models.
AI-assisted features
Some features send a limited portion of customer content to an AI provider to generate a result. For example, tax mapping suggestions send account names and types; import cleanup and out-of-balance diagnostics may also send sample rows, account numbers, and balances. AI output can be wrong, and your team should review it before relying on it.
Service providers we share information with
We share information only with providers that help us run the Service, and only as needed for their part of it:
- Vercel hosts the application and stores uploaded workpaper files and profile photos.
- Neon hosts our PostgreSQL database.
- Anthropic powers the AI-assisted features described above.
- Microsoft Azure, ConvertAPI, and PDF.co convert uploaded PDFs and images into data when you import a scanned or PDF trial balance.
- Resend delivers service emails.
- Stripe processes payments and calculates sales tax.
We may also disclose information if required by law, to protect the rights and safety of our users or the public, or as part of a merger, acquisition, or sale of assets, in which case this policy will continue to apply to the transferred information.
Cookies and local storage
We use only the cookies and browser storage needed to run the Service: a session cookie that keeps you signed in, and local storage for preferences such as your active organization and display settings. We do not use advertising or third-party analytics cookies.
Data retention and deletion
We keep customer content for as long as the Customer’s organization is active. Team members with the right permissions can delete clients and binders in the Service, and the organization owner can delete the entire organization. We keep purchase and tax records for as long as needed to meet accounting, tax, and legal requirements. To delete your user account, contact us at the address below.
Security
We use encrypted connections (HTTPS), hash passwords, and restrict access to each organization’s data to its members based on their roles. No system is perfectly secure, so please use a strong, unique password and tell us right away if you suspect unauthorized access.
Your choices and rights
You can update your profile in the Service. Depending on where you live, you may have the right to request access to, correction of, or deletion of your personal information. Send requests to the address below and we will respond as required by applicable law. If your request concerns customer content uploaded by a firm, we may refer it to that firm.
Children
The Service is intended for businesses and is not directed to anyone under 18. We do not knowingly collect information from children.
Where information is processed
SnappyTB is based in the United States, and we and our service providers process information in the United States.
Changes to this policy
We may update this policy from time to time. If we make material changes, we will notify organization owners by email or in the Service before the changes take effect.
